Why This Role Matters

As Senior Executive Coordinator at CFH, you will do more than provide administrative support. You will serve as a key partner to the CEO, helping ensure the executive office operates efficiently while supporting organizational governance, strategic initiatives, compliance activities, and community-focused priorities. This role is essential in coordinating executive workflow, Board of Directors support, regulatory follow-up, special projects, and high-level communications that help move the organization forward.

Your Day-to-Day

In this role, you will:

  • Manage the CEO’s calendar, communications, and workflow with a high degree of discretion
  • Prepare briefing materials, reports, presentations, and follow-up documentation for internal and external meetings
  • Track progress on strategic initiatives and support timely follow-through on CEO directives
  • Conduct research, compile data, and prepare summaries to support executive decision-making
  • Coordinate Board of Directors and committee meetings, including scheduling, logistics, and documentation
  • Prepare and distribute Board packets, minutes, resolutions, and compliance materials
  • Maintain governance records in accordance with HRSA requirements
  • Support Board recruitment, onboarding, and training activities
  • Assist with HRSA Operational Site Visit preparation, documentation, and follow-up
  • Support federal, state, and grant reporting and compliance activities
  • Maintain policies, procedures, governance documents, and organizational contracts
  • Track regulatory deadlines and help ensure timely submission of required reports
  • Draft internal and external communications on behalf of the CEO
  • Serve as a liaison between the CEO, staff, Board members, community partners, funders, and government agencies
  • Support community outreach, advocacy, public relations efforts, and organizational events
  • Coordinate leadership meetings, retreats, and strategic planning sessions
  • Document decisions, action items, and timelines and ensure follow-through
  • Oversee document management, filing systems, and confidential information handling
  • Provide logistical meeting support, including room set-up and minute taking

 

What Makes You a Great Fit

  • Bachelor’s degree in business administration, Public Health, Healthcare Administration, or a related field required
  • 3 to 5 years of executive-level administrative experience preferred, ideally in healthcare, nonprofit, or FQHC settings
  • Experience supporting Boards of Directors or governance bodies strongly preferred
  • Familiarity with HRSA, UDS, OSV, FTCA, and other FQHC regulatory requirements highly desirable
  • Exceptional organizational and project management skills
  • Strong written and verbal communication abilities
  • Ability to manage sensitive information with discretion and professionalism
  • Proficiency in Microsoft Office Suite and collaboration platforms
  • Ability to work independently, prioritize effectively, and meet deadlines in a fast-paced environment
  • Strong interpersonal skills and the ability to build relationships across diverse teams and communities
