Dental Coordinator

Under general supervision of the Revenue Cycle Manager, the Dental Coordinator is accountable for oversight of practices and services in the practice; specifically, front desk processes, patient appointment flow, and resource management for dental office personnel.  The Dental coordinator will guide patients through treatment plans and help them make financial arrangements.

Core Duties and Responsibilities

  • Training and performance of dental office Patient Registration Specialists of all processes related to patient scheduling, intake and registration, billing, payment collection, customer service practices and all other front desk processes
  • In conjunction with Revenue Cycle Manager and other dental staff, review and improve on front desk and general patient flow processes
  • Ensures compliance with regulatory agencies governing healthcare delivery by regularly communicating with clinical providers
  • Fill cancelled/rescheduled appointments assuring schedule is full and check the daily schedule for accuracy.
  • Understand dental procedures and dental terminology for proper scheduling and treatment coordinating.
  • Coordinate daily schedule with patient treatment needs and available treatment times.
  • Answers calls related to patient inquiries.
  • Present and explain treatment plans.
  • Assist the patient with establishing a plan for scheduling and prioritizing their treatment plan.
  • Perform preauthorizations as needed and patient follow-up.
  • Review and discuss lab fees with patients along with payment options and policies.
  • Obtains a signed financial agreement to pay and collect payment for lab and treatment fees.
  • Verify dental insurance information.
  • Works with management and administration to address issues promptly
  • Attend and participate in all required meetings and training sessions.
  • Maintains CMS guided payment programs at the practice level
  • Serve as a resource for physicians and staff with regard to EMR systems.
  • Maintain patient confidentiality and adhere to HIPAA regulations as appropriate.
  • Understand insurance benefits to effectively educate patients on their dental benefits.
  • All other duties assigned by Revenue Cycle Manager
